Logon Procedures and Other Useful Information

How to Logon ClickHR

To use ClickHR, logon using your USERID and PASSWORD. If you do not have a USERID and PASSWORD, please contact the ClickHR Help Desk at clickhrhelp@ky.gov or contact the Commonwealth of Technology Help Desk at 502-564-7576.. New employees receive a USERID and PASSWORD approximately six weeks after initial employment. When you arrive at the ClickHR Home/News page, simply click any one of the first five navigation buttons on the left side and a logon screen will appear. The Employee Directory and the Home/News pages do not require users to be logged on to the system. After selecting a section to visit and entering your USERID and PASSWORD, a submenu page will appear for the section selected.

ClickHR Will Timeout

ClickHR will timeout after 15 consecutive minutes of inactivity. This is done to protect personal information should an employee forget to logout. If this happens, simply go through the logon process to continue ClickHR activities.

General Organization of ClickHR Information

Getting around in ClickHR is easy. The information in ClickHR is divided into six sections. The sections are:

  • Financial - An electronic paycheck stub showing hours worked, earnings, deductions, taxes, and state paid benefits.
  • Health/Life/FSA - A summary of deductions for an employee's life insurance, health insurance and flexible spending account.
  • Leave Balances - Current annual, sick and compensatory time balances.
  • Total Compensation - Total annual salary plus total annual fringe benefits paid for state employees.
  • My Profile - Displays home address, work address, work phone number and emergency contact information.
  • Employee Directory - Current database of work addresses and phone numbers for state employees.

The navigation buttons on the left side of the page are always present and serve as a menu/selection method for the six sections of ClickHR. They can be used to navigate to the sections or to go back to the Home/News page, which is the initial ClickHR page. When clicking on a section, a submenu for that section listing the various items will appear. Click on any submenu item to view additional information.

Many pages contain a hyperlink to make it easier to return to a submenu page; however, some Personnel Cabinet web pages do not have hyperlinks back to ClickHR submenu pages. Use the "back" button on your browser, or click one of the navigation buttons on the left side of the page to go to a section's submenu page.

Browser Versions Supported

ClickHR is a web application using advanced web browser functions not available in older web browsers. To use ClickHR, make sure you're using Microsoft Internet Explorer version 4.0 or newer or Netscape Navigator version 4.0 or newer. The use of older browsers is not supported or recommended.

Updating Emergency Contact

Most of ClickHR is very easy to use and requires no training.  After entering your work address, work phone number, or emergency contact information in the "My Profile" section, click on  "Submit to Personal Form." This button submits your changes and then displays them for your review, but does not actually update the database with your changes. To make sure your changes are accepted, follow this sequence:

  1. Enter or change contact information
  2. Click the "Submit to Personal Form" button
  3. Review your changes to make sure they're correct
  4. Click the "Update Database" button at the bottom of the review page

If you follow this procedure, work address, work phone and emergency contact information will be updated to the database.  Failing to click "Update Database" after you've clicked the "Submit to Personal Form" button, will cause your changes to be lost.

Some Pages Require a Separate

Most of the information in ClickHR is available by simply logging on once and navigating through the various menus and pages. However, hyperlinks on some ClickHR pages allow employees to visit other useful web sites while remaining within the ClickHR framework. Some external web sites such as the Kentucky Retirement System, the Kentucky Deferred Compensation Authority, the administrator of Kentucky's flexible spending account program may require a special userid and password different from your ClickHR USERID and PASSWORD. Since the Personnel Cabinet has no authority over these external sites, employees must follow the policies and procedures of each external site to obtain a userid and password for that particular site.

ClickHR Uses Cookies

Since ClickHR uses browser cookies for security, make sure your browser options are set to allow the use of cookies. In most cases, browser settings are set up to accept cookies as its initial default setting, and no option change will be required.
